Solved: How to Enable Microsoft Sales Copilot in Outlook

Microsoft Sales Copilot is not just another tool in the sales arsenal. It’s an AI assistant that connects to CRM systems like Salesforce or Microsoft Dynamics 365 Sales. What sets it apart is its ability access it in the tools you already use, including Microsoft Outlook and Microsoft Teams. This seamless integration ensures that you have access to crucial customer insights right when you need them.

It’s worth noting that Microsoft Viva Sales is now part of Microsoft Sales Copilot. This integration further enhances the capabilities of the tool, making it even more powerful.

Sales Copilot Capabilities

Sales Copilot for Microsoft Outlook is a powerful tool that brings the power of AI to your fingertips, enabling you to reply to emails quickly and confidently. It allows you to save your Outlook emails and events directly to Dynamics 365 and connect them to relevant Dynamics 365 records. You can also create new contacts in Dynamics 365 directly from Outlook. You can update opportunities, accounts, and contacts in Dynamics 365 without leaving your inbox. One of the standout features of Sales Copilot is its ability to provide AI-generated email content tailored to sales scenarios and enriched with contextual CRM data. This improves the quality and timeliness of your customer communications.

Additionally, Sales Copilot can convert prolonged email interactions into a few bullet points. This empowers users to understand, stay on top, and respond quicker to your customers. It also provides meeting summaries that help you understand the overall sentiment of the call and track helpful conversation KPIs, such as your talk-to-listen ratio. These features make Sales Copilot an indispensable tool for sellers, enabling them to be more effective right where they spend most of their day.

To add Sales Copilot to Outlook, it is important to have the correct licenses. You will need either the Microsoft 365 for Enterprise License or the Office 365 for Enterprise License. If you have one of these licenses and you are an administrator, first go to the Microsoft 365 Admin Center. Once there, you can find the Settings option on the left-hand side (If you do not see “Settings” select the Show All).

Under Settings, you’re going to select Integrated apps. Once you do this, you’re going to select Get Apps, as seen in the photo below.

Install Sales Copilot

This is going to bring up the Browser Apps window where you can add apps to your tenant. Find the Sales Copilot app. I would recommend utilizing the search bar because it will quickly bring up Sales Copilot in Microsoft Outlook.

Select Get it now. This will eventually direct you through the different setup screens. The first being the general Configuration. This is where you could delineate if you would like to install Sales Copilot to Outlook, Teams, or both.

You are then going to be prompted to Assign the Sales Copilot app to users. Your options include:

  • Just me (current user)
  • Entire Organization
  • Specific users/groups

This is going to provide you, the administrator, the ability to limit which users would have the ability to use Sales Copilot if neccessary. Lastly, you will have to Accept permissions for Copilot in your Environment. You can navigate through any remaining screens and select Finish Deployment. Once you have selected this, you have completed deploying the Sales Copilot App to your Outlook and/or Teams.

I encountered a message stating that the Sales Copilot deployment process might require several hours, but it only took a few minutes. Subsequently, if you return to the Integrated Apps screen, you will see that the Sales Copilot app has been successfully deployed to the Outlook and Teams host products. As an administrator, this is all you have to do!

Unfortunately, this does not mean that all the Users in your tenant will now be able to immediately use Sales Copilot in Outlook. Each user should be instructed to add the Sales Copilot add-in to their Outlook.

If you navigate to the browser Outlook App (web-based), and the Sales Copilot App successfully deployed to your tenant, you can now get the Sales Copilot Add-in for Outlook. On the far right-hand side of the ribbon, you can find a Get add-ins button.

In the Add ins Browser window, search for Sales Copilot. This should find the Sales Copilot for Microsoft Outlook.

Selecting Add will add the add in to your Outlook. Now you can begin using the Sales Copilot capabilities within Outlook, but wait! You are still missing out on a little feature you should also make sure you configure in order to save clicks.

If you Navigate to an email record, you can now see (in the photo below) that the Sales Copilot add in is available to you to begin using, but with an extra step, you can bring it into the ribbon of every email.

When viewing an email, by selecting the three dots, you can select Customize actions. In the Customize actions window, be sure to check the Sales Copilot action. once you do, this is going to bring the Sales Copilot add in to the ribbon of every email so you can get to it’s capabilities faster!

In Conclusion

Microsoft Sales Copilot is included in Dynamics 365 Sales Enterprise and Premium subscriptions at no additional cost, and available as an add-on for other Dynamics 365 Sales plans. A product license for Microsoft 365 for enterprise or Office 365 for enterprise is required to use the Sales Copilot app in Outlook, Excel, and Microsoft Teams.
